Office Manager: Job Description - Responsible for orderly functioning of Association office, its employees, and equipment.
- Works with elected officers to ensure that all Association business is conducted in a timely fashion according to state and federal laws and regulations.
- Provides clerical support for Association officers and committee chairs. Works with computer software currently in use by the Association (Word Perfect; Lotus; Dbase; Pagemaker; Quicken) and learns new software as needed.
- Keeps the office open and available to members and the public during specified hours; answers the telephone and keeps a telephone log; communicates politely with members and the public.
- Assists the President and the Treasurer in the preparation of an annual budget in October to be presented to the Representative Assembly.
- Reconciles monthly bank statements; posts to journals and ledgers; prepares quarterly balance sheets and income statements under the direction of the President and/or Treasurer.
- Maintains up-to-date lists of all hourly and full-time Association members and nonmembers (department, home address, home telephone number). Distributes nonmembers lists to President and/or Executive Committee in October and updates as requested.
- In March distributes copies of the Constitution and Bylaws, including appendices, to all committee chairs and officers.
- Maintains Association calendar; notifies officers and standing committee chairs of upcoming deadlines (e.g., personnel reviews, budget, financial reports, elections, contract negotiation); notifies members of Representative Assembly meetings; prepares agenda in conjunction with President.
- Advises President and Executive Committee of need for personnel, equipment, software, repairs, etc., as needed.
- Maintains files including, but not limited to, all Association records, minutes, correspondence, and accounting records and checks.
- Maintains Association library (up-to-date copies of State Education Code, Title V regulations, PERB publications, all relevant pending legislation, a copy of the Standard Code of Parliamentary Procedure, etc.).
- Works with the elections committee in the conducting of officer elections; distributes newsletters, agendas, and other material to the membership.
- Performs other duties as assigned by the President, other Association officers and/or the Executive Committee.
